When data of multiple financial years are maintained in Tally, there is always a chance of accidental or even purposeful modification of data of the previous years, where the accounts have been finalized and audit is complete. One solution to prevent this is to split the company data into separate financial years and keep them archived. An inconvenience in this method is that you've to go into separate companies when you need to see the history of a ledger.You can freeze the data prior to a certain date in Tally ERP9 using user level security controls. Thereafter the user cannot create or edit any vouchers prior to the mentioned date. Enable Security Control while creating a company or alter the company if not done before. Create an admin user and password. Log into the company using this admin user.From the Gateway of Tally press ALT+F3 Security Control Types of Security Select the security level or Create a new level where you wish to block access.
Select Split Company Data. Select the Company whose data is to be split. Tally recommends the split from date based on the existing data. It is recommended that the Split Point is set as the beginning of the latest financial year, though Tally permits any date as the split point. Splits occur in sets of two periods.
